Machine Shifting in Gated Industrial Estates: What You Need to Know

Permits, security protocols, and access procedures for machinery shifting in Bangalore's gated KIADB industrial estates — Jigani, Bommasandra, Peenya, and Electronic City.

Gated industrial estates in Bangalore — the KIADB-notified zones in Jigani, Bommasandra, Attibele, and parts of Electronic City — have security and access procedures that are genuinely different from standard industrial factory access. Arriving with a crane and a truck without advance notice can result in a 2–3 hour delay at the estate gate. This article covers what we do to prevent that.

Why Gated Estates Have Extra Access Procedures

KIADB and state-managed industrial estates have security systems in place for a combination of reasons:

  • Theft prevention (large industrial estates with high-value machinery are targets)
  • Liability management (the estate management wants a record of all heavy vehicles that enter)
  • Infrastructure protection (overloaded vehicles on estate roads cause road damage that the estate maintenance budget must repair)
  • Noise and disruption management (coordinating heavy operations during estate working hours)

These procedures are not obstructionist — they serve legitimate purposes. Working with them, not around them, is the only approach that keeps you on schedule.

Jigani KIADB Industrial Estate

Entry requirements for heavy vehicles:

  • Vehicle registration number must be pre-registered with the Jigani KIADB security office
  • Driver’s licence and vehicle RC book required at the gate
  • Entry pass issued to the driver — must be returned on exit
  • Time restriction: heavy vehicles (HMV) entry between 8 AM and 5 PM on working days; Saturday entry requires specific authorization

Lead time required: 5 working days for first-time vehicle registration. Repeat entries for registered vehicles can be processed in 24–48 hours.

Our process: We collect the crane vehicle details (registration, RC copy) and submit to the Jigani KIADB estate office 5 working days before the scheduled crane deployment. For transport trucks arriving with machinery, we submit those vehicle details simultaneously. On move day, we arrive 30 minutes before the first crane movement to complete gate procedures.

Bommasandra Industrial Estate

Entry requirements:

  • Similar to Jigani: pre-registration for heavy vehicles
  • Entry manifest signed by the factory’s authorized signatory
  • Weighbridge check for trucks above a certain GVW (gross vehicle weight)

Key difference: Bommasandra estate management is generally more pragmatic about same-day or 24-hour notice for registered clients. If your company has a history of crane and transport activity in the estate, expedited vehicle registration is possible.

Tip: Ask your factory’s facilities manager to call the Bommasandra estate security office directly to pre-clear the crane for a specific date. A call from an established factory tenant carries more weight than a call from an external contractor.

Peenya Industrial Area (BBMP/KIADB)

Peenya is a mixture of KIADB-notified plots and BBMP industrial layouts, and access control is less formalized than Jigani or Bommasandra. Most individual factories control their own gate access rather than the estate having a central checkpoint.

However:

  • Some Peenya compounds (shared-access factory clusters) have their own internal gate security
  • Internal roads in Stage 1 and 2 can effectively block crane movement during peak delivery hours, creating an informal access constraint
  • The Peenya KIADB stage boundaries sometimes require coordination between neighbouring units for crane swing access

Electronic City and ITPL Zone (Whitefield)

Access requirements: ITPL Zone (International Tech Park) and adjacent commercial-industrial areas in Whitefield have private security managed by the property management company (typically Ascendas or similar REITs). These are the strictest access procedures we encounter:

  • All contractor vehicles must pre-register minimum 24 hours before entry
  • Driver identification and vehicle documents at the gate
  • Visitor passes required for all crew members, not just the driver
  • Some buildings have height restrictions at parking entries (typically 4.2m) that restrict crane vehicle entry to specific loading zones

Crane operations at ITPL Zone: We notify the building management when we need to operate a crane at or near ITPL Zone properties. They may require a designated crane parking location that doesn’t obstruct tech park traffic, and they will coordinate with BBMP if the crane operation requires any temporary road use.

The Universal Pre-Move Checklist for Gated Estates

Regardless of which estate, we run this checklist 5 working days before any machinery move in a gated industrial area:

  • Crane vehicle registration submitted to estate management
  • Transport truck vehicle registration submitted (if different from crane)
  • Factory contact (facilities manager or production manager) informed and available on move day
  • Gate entry documentation prepared: driver licences, RC books, entry passes
  • Time-of-day access confirmed: is our planned crane arrival time within permitted heavy vehicle entry hours?
  • Internal route from gate to factory confirmed: are there any low bridges, narrow passages, or restricted turns the crane must navigate?

Five working days is the minimum. Seven to ten days gives more buffer for any bureaucratic slowdowns. The cost of a one-hour gate delay on a crane that costs ₹1,000/hour is significant — the cost of a phone call 7 days in advance is zero.
